Coaches and Instructors
Some of you have coaches or instructors who regularly provide a service to your society and you pay them.
Since the summer 2005 a system has been introduced on advice from the University which now requires us to hold a variety of information on these people and also provide a much tighter payment system to ensure that all financial regulations are adhered to.
This system can cause confusion for some societies and the following information should hopefully give you a better idea of what's required and how you should go about things.
CONTRACTS
Coaches and instructors need to be under contract to LUSU in order to undertake the classes or training sessions you have.
This may work in a variety of different ways and all groups are different.
We are trying to make this as easy as possible for everyone concerned and where we can construct a contract that meets the needs of the individual group based on its particular activity we will.
However, there are certain things that are required in each case; particularly for new coaches and instructors. Some things, for example references and proof of ID would not be required in future years if the instructor was to return every year. Other things like public liability insurance are absolutely critical and will be required by LUSU every year.
Please note that all contracts are legally binding documents and they are between the coach/instructor and LUSU; NOT the society. This means that the exec cannot negotiate different arrangements with the coach/instructor because it will mean that either the coach/instructor or LUSU will be in breach of the contact which is a very serious problem. Payment of Instructors
This is the area that is most important after public liability insurance.
There are a variety of methods of organising payment of coaches and instructors mainly because of the different ways in which societies gather revenue.
Whatever the situation and whatever the method of organising payment it cannot be stressed enough that no longer must monies change hands without a paper-chase that satisfies our financial records.
On the whole this means that LUSU will undertake to arrange payment for coaches and instructors by paying them by cheque a month in arrears.

What are the documents that my coach/instructor will need to produce in order to be taken on?
The first time any coach or instructor signs up with LUSU they will be asked to produce.
* A couple of references. One has to be related to them as a coach/instructor so perhaps from someone who has been coached or instructed by them and had some good results. The second should be a character reference.
The first time these are submitted they need to be in the original format and photocopied which may mean that the coach or instructor has to come in to LUSU at some stage outside of the normal tuition or training time. This will have to be organised in advance.
